Martone Accounting Limited (“we”, “our”, “us”) is a firm of accountants and business advisers providing accounting, taxation, payroll, and company secretarial services.

2. The personal data we collect
We may collect and process the following categories of personal data:
- Identity data: name, title, date of birth, PPS number, company number.
- Contact data: postal address, email address, telephone numbers.
- Financial and transactional data: bank account details, payroll records, income, expenses, invoices, and tax reference numbers.
- Engagement data: correspondence, service history, billing and payment information.
- Compliance data: documentation required under Anti-Money Laundering (AML) or Know Your Customer (KYC) obligations.
- Technical data: metadata from emails or use of our secure client portals.
We collect this information directly from you, from authorised representatives, or from public and regulatory sources such as the Companies Registration Office, Revenue Commissioners, and the Charities Regulator.
3. Purposes and lawful bases for processing
We use personal data only for legitimate professional and business purposes.
Providing accounting, tax, payroll, and company secretarial services - Performance of a contract (Art. 6(1)(b))

Where consent is required for specific processing (for example, marketing to non-clients), it will be sought separately.
4. Sharing your data
We will never sell your data. We may share information only where necessary with:
- Revenue Commissioners, Companies Registration Office, Charities Regulator, and other statutory bodies.
- Banks, solicitors, auditors, and professional advisers acting on your instructions.
- IT and cloud-service providers who host our systems under contract.
- Regulatory or law-enforcement authorities where required by law.
All third-party recipients are bound by confidentiality and data-processing agreements ensuring appropriate security and compliance.
5. International data transfers
We do not routinely transfer personal data outside the European Economic Area (EEA).
If a transfer becomes necessary, we will ensure appropriate safeguards such as an adequacy decision or EU-approved Standard Contractual Clauses.
6. Data retention
We retain client data for six (6) years after the end of the client relationship, or longer where required by legislation or professional obligations (for example, tax or audit rules).
After the retention period, information is securely deleted or anonymised.
7. Security of your data
We apply technical and organisational measures to protect personal data against accidental loss, destruction, or unauthorised access. These include encryption, password-protected systems, restricted access controls, and staff confidentiality obligations.
8. Your data protection rights
Under GDPR, you have the following rights:
- Access – to request a copy of your personal data.
- Rectification – to correct inaccurate or incomplete data.
- Erasure – to request deletion where data are no longer needed.
- Restriction – to limit processing in certain circumstances.
